What to Include in a Company Profile for Translation and Localization Agencies

A translation or localization agency’s company profile should prove four things quickly: which language pairs and subject areas you cover, how you assure quality, how you protect client content, and how much volume you can handle. Buyers choosing a language vendor can’t judge the output until they’ve already hired you, so the profile has to make your process visible before the first project.

This guide covers what to put in each section, what to leave out, and how to keep the document accurate as your vendor network changes.

Why a Language Agency Needs a Standalone Profile

Most agency websites list "100+ languages" and a contact form. That’s a claim, not evidence. Procurement teams, in-house localization managers, and law firms evaluating vendors usually want a document they can attach to a vendor-onboarding form or forward to a colleague. A company profile does that job in a format that travels.

It also helps in situations where a website can’t: responding to an RFP, being added to a larger agency’s vendor roster, or pitching a software company that is about to localize a product for the first time and doesn’t know what to ask.

Language Coverage, Stated Honestly

The most common mistake is an inflated language list. Buyers who work with translation vendors know that a long list usually means a long list of subcontractors. State what you actually deliver:

• Core language pairs you handle with established, vetted linguists.
• Extended pairs available through a managed network, labeled as such.
• Direction and dialect where it matters (for example, Brazilian versus European Portuguese, or Simplified versus Traditional Chinese).

If you specialize, say so. A profile that reads "legal, financial, and life-sciences translation in eight languages" is more credible than "all languages, all industries."

Subject-Matter Specializations

Translation quality depends heavily on domain knowledge. List the verticals where you have repeat work and, where possible, linguists with relevant backgrounds: legal, medical, technical manuals, software UI, marketing and transcreation, e-learning, or financial reporting. Keep this to the areas where you can describe a real process, such as terminology management or reviewer qualifications, rather than every industry you’ve ever touched.

Quality Assurance Process

This is the section buyers read most carefully. Describe the workflow you actually run, for example:

• Translation by a qualified linguist, followed by independent editing or review.
• Use of translation memory and glossaries to keep terminology consistent across projects.
• Automated quality checks plus human review for final delivery.
• How you handle client feedback and corrections after delivery.

If you hold a recognized standard certification, such as ISO 17100 for translation services or ISO 9001 for quality management, include it with the certifying body and be ready to provide the certificate. If you don’t hold a certification, don’t imply one. Describe your process plainly instead.

Technology and Machine Translation Policy

Clients increasingly ask how machine translation fits into your workflow. Be direct: do you use machine translation with human post-editing, only on request, or never? Which CAT tools and translation management systems do you support, and can you work inside a client’s own platform? Buyers care less about which approach you choose than about whether you’re transparent and whether it matches what they expect.

Data Security and Confidentiality

Language agencies handle contracts, patient information, unreleased product copy, and financial filings. Include:

• How files are transferred and stored.
• Whether linguists sign confidentiality agreements.
• Any relevant compliance posture, such as GDPR handling of personal data, described accurately.
• Whether you can restrict work to specific linguists or regions on request.

Don’t claim certifications or audits you haven’t completed. A short, accurate security paragraph beats a long, vague one.

Capacity, Turnaround, and Scale

State realistic throughput: typical daily volume per language pair, standard turnaround for common document sizes, and how you handle rush work. If you’ve supported large multilingual launches, describe the scale in general terms without naming clients who haven’t agreed to be named. Include project management coverage, such as time zones and support hours, since localization often runs across regions.

Clients and Proof

Use only references you can stand behind. Named logos need permission; anonymized descriptions ("a mid-size SaaS company localizing into six European languages") are an acceptable alternative. Don’t invent testimonials or statistics. If you don’t have case studies yet, a clear process section and credentials carry more weight than filler.

Keeping the Profile Current

Your language coverage, tooling, and certifications change over time. Review the profile whenever you add a language pair, change your MT policy, renew or lose a certification, or change security practices. Our guide on how often to update your company profile offers a practical schedule.

Frequently Asked Questions

Should a translation agency list every language it can support?

No. List the languages you cover with vetted linguists and label extended pairs separately. Inflated lists tend to hurt credibility with experienced buyers.

Do I need ISO certification in my company profile?

Only if you hold it. Certifications like ISO 17100 can help in procurement, but an accurate description of your quality process is better than implying a credential you don’t have.

How is a company profile different from a capabilities statement or rate card?

A rate card lists prices; a capabilities statement is often tied to specific bids. A company profile is the general-purpose document that introduces who you are and why you’re credible. For the broader distinction, see company profile vs. pitch deck vs. business profile.

Key Takeaways

• Lead with language pairs and specializations you genuinely deliver.
• Describe your actual QA workflow, not generic promises.
• Be transparent about machine translation and security practices.
• Only cite certifications, clients, and numbers you can verify.
• Update the profile when your coverage or tooling changes.
